Because these projects are so personal, we want to make sure we begin with clarity, care, and shared understanding.

Here’s what you can expect as the process begins:

Signed Agreements

Before any work starts, you’ll receive a custom agreement that outlines the scope of the project, design approval, and responsibilities on both sides.

It also includes a release acknowledging the inherent risks of working with heirloom stones. This agreement helps protect both of us and ensures we’re aligned every step of the way.

Documentation

  • A professional appraisal or grading report

  • Any original paperwork you may have

  • Clear photos of the stone(s)

While not required, we strongly recommend providing any or all of the following documents to help both parties feel confident about what’s being handed over:

Insurance

Because heirloom stones were not sourced by us, they are not covered under our jewelers insurance while in our possession. To best protect your stone, we strongly recommend having it insured under your personal jewelry policy before it changes hands. This can help cover loss, theft, or damage that may occur during transit or while work is being done. If you don’t already have coverage, check with your homeowner’s policy or a provider like Jewelers Mutual, which specializes in jewelry insurance.

Understanding Risk

Even with the greatest care, heirloom stones (and even modern stones) can carry hidden flaws or weaknesses from years of wear. While rare, chipping, cracking, or damage can occur during removal, cleaning, or resetting. You’ll acknowledge this when signing the custom work agreement.

While obtaining your own insurance can help protect against  monetary loss, we understand there’s no  real compensation for the emotional weight of losing an heirloom. The risks involved in resetting are minimal, but not nonexistent. If your stone is something you’d be heartbroken to lose, we encourage you to take your time and give thoughtful consideration before moving forward.

Know that we will treat your stone with the utmost care and respect. Every heirloom is handled thoughtfully—from intake and documentation to stone removal, cleaning, and resetting. We use trusted, professional setters with decades of experience, and take every precaution throughout the process to safeguard your piece. This isn’t just a project to us, it’s  a responsibility—and an honor—we don’t take for granted.
